What is Document Imaging? 
Document imaging is the conversion of paper documents into electronic images 
on your computer. Once on your desktop, these documents can be retrieved 
effortlessly in seconds. 

Why Document Imaging? 
Thousands of organizations around the world use document imaging every day
instead of paper filing systems. The reasons for this change towards a paperless
office are simple:
 • Prevents loss of records by misplacement, theft or fire
 • Saves storage space (over 10,000 pages can be stored on one CD)
 • Manages records easily

What Does it Involve?  (see components of Document Imaging System)
The steps necessary to introduce document imaging are simple. 
• First the documents are scanned into the system.
• The document imaging system stores them on the hard drive or other storage 
   media such as CDs.
• The documents are then indexed electronically.
• When a person later wants to read a document, they use the retrieval tools 
   available in the document imaging system. Which documents can be read and 
   what actions performed on these documents is dependent on the access 
   provided by the document imaging system.

Records Management
Records management can is the management of records within an organisation. Records management is about handling organisational information so that it is timely, accurate, complete, cost-effective, accessible and useable.

This involves determining what records are need to be created and creating sufficient records to document an organisations activities and functions. Maintaining these records in a way that allows all persons who need access to find and retrieve what they need and removing or destroying records (with authorisation).

In addition, records management includes Categorising records, transferring records identified as permanent to the National Archives as required, protecting vital records appropriate to their value and records that contain security classified, confidential business, or other types of sensitive information with appropriate safeguards.
